Terms of service

Draft — last updated September 23, 2026.This document is a draft under review. Items in [square brackets] are still to be completed.

These terms are an agreement between [Company legal name], [registered address] (“SoloQC”, “we”) and the business that creates a SoloQC account (“customer”, “you”). By creating an account or using SoloQC you accept these terms on behalf of that business.

1. The service

SoloQC provides a phone app for cleaners and a web admin for managers. Cleaners photograph fixed points in a room; an AI model checks each photo against the customer’s checklist; managers see a photo log and analytics. SoloQC is not a property management, scheduling or booking system.

2. Accounts and cleaners

You are responsible for your managers’ accounts and for the sign-in codes you give cleaners. Change a cleaner’s code to remove their access. You are responsible for everything done under your account.

3. Your responsibilities for staff and photos

  • Tell your cleaners how SoloQC works and what it records, and get any consent or approval your local law requires before using it — for example from a works council or employee representatives.
  • Make sure photos show rooms, not people. Do not photograph guests, their belongings or documents.
  • Use the check results as a tool for your team, not as the only basis for disciplinary or employment decisions.
  • Do not upload unlawful content or use SoloQC to monitor anyone covertly.

4. AI results

Checks are made by an AI model and can be wrong in both directions: it can miss a problem or flag one that is not there. It only judges what is visible in a photo. SoloQC does not guarantee that a room passing the check is clean or meets any standard. Cleaners can mark a point manually with a reason, and managers can see and correct every result.

Photos are sent to third-party AI model providers for analysis, as described in theSoloQC privacy policy.

5. Plans, prices and billing

  • SoloQC Free costs $0 for up to 5 rooms at 1 property, with 7 days of photo history. It is free for as long as you use it, not a trial.
  • SoloQC costs $2 per room per month on Starter, with a $29 monthly minimum (the minimum covers up to 14 rooms), for up to 3 properties and 30 days of photo history.
  • SoloQC costs $1.50 per room per month on Pro, with a $99 monthly minimum (the minimum covers up to 66 rooms), for unlimited properties and 90 days of photo history.
  • The monthly bill is the larger of the plan minimum and the per-room price times the number of active rooms: Starter = max($29, $2 × rooms), Pro = max($99, $1.50 × rooms). A room is an active, non-archived room; a villa counts as its number of bedrooms.
  • Paid plans are billed monthly in advance, in US dollars, by card through Stripe. Adding or archiving rooms changes the bill pro rata. Prices exclude taxes, which are added where required.
  • If a payment fails, the service keeps working for 7 days. After that, checks pause and the admin becomes read-only until payment is made or the account is reduced to the Free plan limits (5 rooms).
  • We may change prices or plan limits with at least 30 days’ notice by email. [Confirm notice period.]

6. Cancellation

There is no minimum term. You can cancel a paid plan anytime from the billing page in the admin; it stays active until the end of the current billing period [confirm]. Payments already made are not refunded except where the law requires. After cancellation you can keep using the Free plan if your account fits its limits.

7. Your data

You own the photos, checklists and other content you put into SoloQC. You give us permission to store and process it only to provide and improve the service and as described in the privacy policy. Cleaning photos and the check log are kept for 7 days on Free, 30 days on Starter and 90 days on Pro, then deleted automatically. You can ask us to delete your account and data at any time.

8. Availability and changes

We work to keep SoloQC available but do not promise uninterrupted service. The app needs an internet connection to check photos. We may change or discontinue features; if we discontinue the service we will give at least [60] days’ notice and a way to export your data.

9. Liability

SoloQC is provided “as is”. To the extent the law allows, we are not liable for indirect or consequential losses, including lost revenue, guest complaints or reviews, and our total liability is limited to the amount you paid us in the 12 months before the claim. Nothing in these terms limits liability that cannot be limited by law.

10. Suspension and termination

We may suspend or close an account that breaks these terms or the law, or that puts the service or other customers at risk. Where possible we will warn you first.

11. Governing law

These terms are governed by the laws of [jurisdiction]. Disputes go to the courts of [venue].

12. Changes to these terms and contact

We will post changes on this page and email account owners about significant changes before they take effect. Questions: [contact email].
